Before you’ve finished your morning coffee, the first offer arrives.
“Save hours with an AI assistant.”
By lunch, another company promises to automate your sales. By dinner, you’ve seen tools for scheduling, marketing, quotes, and customer service.
Every offer promises to give you time back. Just reviewing them is becoming another job.
It feels like being carpet-bombed with solutions. Your plan should be the opposite: a few clearly identified targets.
Find the Targets First
An owner buys an assistant to answer customer inquiries faster. Then a tool to book appointments. Then one to prepare quotes.
Customers still fall through the cracks.
Each tool does its job well. The assistant answers in seconds, and the quotes go out on time. The gap is between them. A quote goes out, the customer doesn’t sign, and no tool and no person owns the follow-up call.
The owner bought tools for individual tasks without planning how the work would move between them.
A 2024 RAND report on why AI projects fail found the same thing at a much larger scale. Poorly understood problems, and a focus on the technology instead of the people who use it, were recurring causes.
Finding the targets first costs a small fraction of what you’d spend implementing the wrong tool.
Buy Against a Plan
Before buying another tool, finish this sentence:
“Our problem is ________, and a better result would look like ________.”
Then map how the work should happen, including who takes over when the AI cannot help.
Here is what that looks like. A cleaning business I’m working with gets a constant stream of calls: new inquiries, rescheduling, cleaners who can’t make a shift. Before choosing any tool, we listed each kind of call and decided where it goes. Basic questions, a tool answers. A request for a price, a tool gives an instant estimate from the property details. A serious prospect goes straight to the owner, who now writes full quotes only for people ready to move forward.
One focused tool might cover what you were considering several products for. Or you might need a few connected tools. The number matters less than how they fit the plan.
You don’t need to cover your business with AI.
You need to know what you’re aiming at.
